Data Transmissions to CARFAX
The CARFAX integration with R.O. Writer provides you with access to view CARFAX vehicle information including
- QuickVIN
- QuickVIN Plus
- Service History Report
Where the CARFAX Service Works
CARFAX works in the following locations:
- United States
- Canada except for Quebec and Alberta
Information Required by CARFAX
To access CARFAX vehicle information, you must enter the License plate number and State and on the Vehicle Tab of the Edit Vehicle window. Then, you can click the VIN Lookup button.
R.O. Writer verifies your CARFAX service account, retrieves the VIN from their database, and presents that information. Then, R.O. Writer does the following:
- If Epicor is properly installed, the VIN is decoded and the year, make, model, and engine are entered.
- If Epicor is not installed, the VIN retrieves the description of the year, make, and model from the CARFAX database.
- R.O. Writer attempts to match the descriptions to ACES.
- You need to complete the information for ACES manually.

How Data Transmits to CARFAX
R.O. Writer transmits data to Central Service and Central Service transmits relevant data to CARFAX.
NOTE: Central Service is part of the R.O. Writer line of products.
Types of Vehicles That Transmit
- Cars
- Trucks
Data That Transmits to CARFAX
Central Service transmits data from finalized repair orders only to CARFAX.
The following data is transmitted to CARFAX:
- Repair order number
- Year, make, model, engine, and transmission
- VIN
- License plate and state
- Mileage
- Labor operation codes and descriptions but not the price
TIP: Use Customer Requests instead of Services or labor operations for concerns and comments that you do not want transmitted to CARFAX. Customer Requests are not transmitted to CARFAX.
Data That Does NOT Transmit to CARFAX
Central Service does not transmit the following information to CARFAX:
- Customer (vehicle owner) information
- Declined labor
- Customer requests
- Shop name, address, city, state, zip, and phone number
- Repair orders that have not been finalized
- Estimates, quotes, and parts-only tickets
NOTE: When you sign up to use the CARFAX service, you provide them with your shop information. Therefore, Central Service does not send your shop information in each transmission. However, your shop information will appear on the complete report because CARFAX already has it.
