Parts/Labor Tab

When you create a new ticket, the ticket window opens to the Parts/Labor tab.

NOTE: You can choose to open to the Service Requests Tab in Configuration (Configuration menu > Repair Order > R.O. Options > When Opening New R.O. > Start with Service Requests setting).

Sections of the Parts/Labor tab:

Customer Section

This section displays the customer's information.

To open the customer window, click the customer’s name. If the wrong customer is selected, you can select a different customer. (You will also have to select a different vehicle.)

Vehicle Link

The Vehicle link at the bottom opens the Vehicle List of all the vehicles associated with the customer.

Vehicle Section

This section displays the vehicle information entered for the vehicle.

To Edit Vehicle Information

To edit the information in the vehicle section, open the Edit Vehicle window by clicking the vehicle year in the link at the top of the section.

The following table describes the links along the bottom of the vehicle section.
Link Toolbar Button Click to:
History The local history button in the ticket toolbar. Open the Local History of services performed on this vehicle
Service The Services button in the toolbar. See Service Recommendations (based on previous visits) for the vehicle.
Checklist The checklist button in the ticket toolbar. See the Service Checklist for the vehicle.
Fleet The fleet button in the ticket toolbar. Click to open the Fleet Wizard to assign this vehicle to a fleet. This is how you create a fleet invoice.

Information Section

The Information section of the Parts/Labor tab.

Links in the Information Section

There are several links in the information section that enable you to enter or change information without having to leave the Parts/Labor tab. These links are also buttons on the Other Information Tab.

The following table describes the links in the information section.

Service Writer Change Service Writer Service writer assigned to this ticket.
Center Change Profit Center Profit center assigned to this ticket.
Status Change Status Status of the ticket.
Source Change Source Customer source (how the customer found out about your shop).
PO/Coupon Change PO/Coupon The purchase order number or Fleet coupon number.

Parts and Labor (Jobs) Section

Parts and labor appear in this section. There are two views: job-based and non-job-based.

If you are using the Job-Based View, parts and labor are combined into one section named "Jobs":

The job-based view is the default view and provides much more functionality than the non-job-based view. For details, click the following link: Job-Based View.

In the non-job-based view, parts and labor are divided and display in their separate sections.

Both job-based and non-job-based views have labor lines and part lines.

Labor Lines

Each labor operation appears as a unique section with the labor line at the top of the section. Labor lines

Icons

These icons indicate information about the labor on the line.

  • The wrench icon on labor lines. The wrench indicates that this is a labor line and the labor time clock is not running.
  • The clock icon on labor lines. The clock indicates that the labor time clock is running on this labor operation.
    • Press the letter "T" key to start and stop the time clock.
  • The checkmark icon on labor lines. The checkmark indicates that this labor operation has been marked as finished.

Technician

Displays the technician code of the technician assigned to the job.

If no code appears, no technician is assigned. Technicians are assigned by double-clicking the labor line to open the job and selecting a technician at the top of the window.

NOTE: If you use Scheduler, the technician code may be highlighted to indicate if the job is scheduled. This is a setting in Configuration (Configuration menu > Scheduler Setup > Setup Options > Highlight Tech).

Description

The description of the job.

Parts column

The price of the parts in the job. This is the parts-only total; it does not include labor.

Labor column

The price for the labor alone. This column displays the number in the Charge field of the Edit Labor window.

If the job calculates charges according to Billed Time, the Billed Time amount displays on the line.

Total column

This is the total price of parts and labor only.

This is NOT the total price! To see the total price - including taxes, fees, and supply charges - check the Total on the Calculations Tab.

Part Lines

Each part appears on its own line. Part lines

Symbols

These symbols indicate that this line is a part (as opposed to a labor) as well as its inventory status.

The part symbol is a combination of the

  1. Part's stock designation (for parts with a record in Inventory) and
  2. The profit margin indicator arrow.

For example, A part line with inventory information. means this is a stock part that is above the minimum profit margin.

The following table describes the meaning of the symbols on the part lines.

Indicates that the part is marked as a Stock part and there is enough on hand to fulfill the requested quantity.

N

Indicates that the part is one of the following:

  • Marked as a Non Stock part in local Inventory (with or without quantity on hand ).
  • Marked as a Stock part in Inventory but there is not enough quantity on hand to fulfill the requested quantity.
  • From an online catalog with no part record in Inventory.

The down arrow on part lines.

Indicates that the part is below the minimum profit margin.

If a red arrow pointing down The profit is below minimum margin icon. appears in the Information Section above the Jobs section, the entire ticket is below the minimum profit margin.

Indicates that the part is above the minimum profit margin.

X

Indicates that the part has no on-hand quantity and the part is below the minimum profit margin.

Quantity

This is the quantity requested for the job.

  • Parts can be linked directly to labor operations or included in Smart Jobs, Smart eJobs, service intervals, or other labor packages that include parts.
  • If the part was added with a labor, the quantity of the part is set in the labor operation. You can adjust the requested quantity by double-clicking the part to open it and typing in the new quantity.

Part Number

This is the part number.

Description

This is the part description.

Price

This is the price to the customer for the quantity.
