Price Locks on Stock and Consigned Parts

You can lock the price on stock and consigned parts

Only stock and consigned parts can be locked. You cannot lock the price of non-stock parts. In addition, if the quantity posted to a ticket is greater than the amount on hand, the part is converted to non-stock and unlocked automatically.

Locked Parts

When the price is locked on a stock or consigned part, the price of that part is locked wherever it is used, including:

Locked Parts in Labor

Parts do not inherit the lock status of a labor operation or Smart Job. The part’s lock always applies when posted.

If a locked labor or Smart Job that includes parts is posted to a ticket:

Accessing Part Price Locking

You price-lock stock parts on the Inventory window. You access the Inventory window from both options on the dropdown menu that expands from the Inventory toolbar button:

Locking the Price on Individual Parts

You can lock the price of stock or consigned parts one at a time.

Complete these steps:

  1. On the Inventory window, search for the part by entering the
    • Part Number,
    • Description, or
    • Alternate #
  2. Open the part and click Edit.

  3. In the Lock Status dropdown list, select Locked or Locked w/Price Minimum to lock pricing.
  4. Click Save. The part now has the selected price lock status.

Global Lock

Global price locking allows you to lock the price of all stock and consigned parts at one time. The Apply to ALL button in the Lock Status section of the Inventory window locks the current price for all stock parts.

The Apply to ALL button appears only when the Inventory window is blank and disappears when a part number is entered.

NOTE: The only way to limit access to the Apply to ALL button is to password-protect the entire Inventory window in the Configuration module. You cannot password-protect the Apply to ALL button alone.

To Lock all Stock and Consigned Parts

When setting all stock and consigned parts to the Locked or Locked w/Price Minimum status, it is important to note the following:

Complete these steps:

  1. Open the Inventory window. A blank inventory window opens displaying the Lock Status section.
  2. Select Lock or Locked w/Price Minimum as the Lock Status.
    • If you select Locked w/ Price Minimum, the current price is locked as the minimum price.
  3. Click the Apply to All button.

  4. A prompt appears explaining that all parts will be locked with the status selected in the dropdown list.

  5. Click Yes. A prompt appears confirming that the Lock Status has been applied to all parts.

Lock Statuses for Stock Parts

The price lock status of a part determines the fields and options that are locked, inactive, and cannot be changed on the Editing Part window that opens when you open the part from an open ticket.

Unlocked Status

The Unlocked status keeps the part unlocked. There is no change to the pricing fields and all fields can be edited. Unlocked is the default status for new parts in Inventory.

Locked Status

The following information is locked when the part is added to a ticket:

*The Price/Unit field cannot be edited on the Edit Labor window. The price in the Price/Unit field is determined by the price level assigned to the customer (Edit Customer > Other Info Tab> Price Level field). For example, if the customer’s Price Level is “RETAIL,” the locked price for the part is the RETAIL price entered in the part record.

If the customer’s price level is changed after the part is added to the ticket, the locked price does not change based on the new level. You need to remove the part and re-add it and re-add it.

Locked w/Price Minimum Status

The Locked w/ Price Minimum status locks the same fields as the Locked status. When parts have a Locked w/Price Minimum status, the following information is locked and inactive when added to tickets:

The Price/Unit field can be edited but cannot be set lower than the minimum price. The minimum price is determined by the Price Level assigned to the customer (Edit Customer > Other Info Tab> Price Level field)

If the customer’s price level is changed after the part is added to a ticket, the minimum price does not change. To apply the lock, you would have to remove the part from the ticket and add it again.

If you attempt to set the Price/Unit lower than $44.99 on an open ticket, a warning appears notifying you that the price cannot be set below the minimum price.

After clicking OK, the Price/Unit resets to the minimum price automatically.

An Exception to the Minimum Locked Price

The warning about the minimum price does not appear when you are using Package Pricing and Use Package Discounts is turned off in Package Options.

When package discounts are turned off, the pricing for parts and labor is modified to meet the Package Price and NOT calculated by the package discount. As a result, the part price and labor charge can go below the minimum price without warning you.

Parts and Labor on Existing Tickets

When you set the price lock, the lock does not apply to parts and labor that are already posted to tickets on the Work in Progress and Estimates in Progress windows.

To apply the price lock on posted parts and labor, you need to remove the parts and labor from the tickets and then add them back. When the locked parts and labor are added back to the ticket, the pricing is locked.
