Locked Repair Orders

When a repair order is opened on one workstation, that repair order is automatically locked on all other workstations using that database and license. Locking repair orders happens automatically; it is not configurable.

NOTE: Locking applies only to repair orders. Quotes (including all quotes created by Tire Quote), estimates, and parts-only tickets are never locked.

Locked repair orders can be opened on other workstations but only in read-only mode, which means the content can be reviewed but not changed. Specifically, you cannot make any changes that would change the calculations.

Locking repair orders helps prevent payment-related problems that occur when multiple users can make changes to the same repair order. Conflicting data entered by multiple users can cause out-of-balance errors that make it impossible to finalize the repair order.

NOTE: You do not configure repair order locking. R.O. Writer automatically locks a repair order open on one machine on all other machines. The only configuration is to password-protect the Unlock RO button, which is recommended. You want to make sure users that can unlock repair orders have the correct security level.

Working with Locked Repair Orders

Communication within the shop is the best way to handle multiple users accessing the same repair order.

When you open a repair order that is locked, R.O. Writer recommends that you check the title bar and contact the person who has the repair order open.

When the repair order window is closed on the other machine, it is unlocked on your machine. You can open the repair order window to see the other user’s changes.

NOTE: Whenever you open a repair order window, the data on the ticket refreshes. You are always seeing the most current information when you first open the window.

Security Prompt

When you try to edit a locked repair order, a security prompt appears telling you the ticket is locked, who has the repair order locked, and the machine where the repair order is open.

R.O. Writer recommends reaching out to the person who has the repair order open to request that he or she closes the ticket window.
