Creating Custom Views

You can create your own views in the Configure Views setting, which is available by clicking the gear button.

Creating Custom Views

Complete these steps:

  1. While the Browse window is open, click the Configure Views button The Configure Views button on the Browse window..
  2. Select a view in the View dropdown list.
  3. Click the Add button. The Save As window pops up.
  4. Type in a View Name for the new view.
  5. Click OK.
    • The view selected in the View dropdown listed is copied and assigned the name you entered.
    • Your new view is selected in the View dropdown list.
  6. The process of creating a new view based on an existing view.

  7. Begin modifying the selections on the Layout, Filters, and Sorting tabs.

TIP: Always click Save to save all your changes. You remain on the window where you are when you click Save.

Available Columns

Each item on the General, Other Information, and Notes tabs of the inventory record are columns in Browse. Items on the Tire Information and Oil Information tabs are not available in Browse.

Working with Available Columns and Selected Columns

The Layout and Sorting tabs contain a section for Available Columns and a section for Selected Columns.

When a column is selected for the view, it moves to the Selected Columns section and no longer appears in the Available Columns section.

To Highlight Columns on the Layout and Sorting Tabs

The Layout and Sorting tabs have Available Columns and Selected Columns sections. You highlight columns in each section to move them to the other section.

When you click either tab, the first item in the list is always selected. If this is the column you want, leave it selected.

To select multiple columns that are next to each other in the list, press and hold the SHIFT key while you

To select multiple columns that are not next to each other in the list, press and hold the CTRL key while you click on other columns.

To Move Columns on the Layout and Sorting Tabs

There is a column of arrows between the Available and Selection sections you click to move highlighted columns from one section to another.

Click the left double-arrow button to move all columns in Selected Columns to Available Columns.

Click the single left arrow to move all highlighted columns in Selected Columns to Available Columns.

Click the single right arrow to move all highlighted columns in Available Columns to Selected Columns.

Click the right double-arrow to move all columns in Available Columns to Selected Columns.

To Select Columns

Complete these steps:

  1. On the Layout tab of a custom view, highlight the column or columns in the Available Columns section.
  2. Click the single right arrow button to move the columns to the Selected Columns section.
  3. To remove selected columns,
    • Highlight those columns in the Selected Columns section and
    • Click the single left arrow to move the columns back to the Available Columns section.
  4. When you have finished, click Save to save your changes.

NOTE: Only the views you create can be modified. You cannot change the column selection of Views Built by R.O. Writer.

To Order Columns

You can select as many columns as you would like for the view. However, only the first 13 columns are visible when you open the Browse window.

To see more than the first 13 columns, you need to scroll right or expand the Browse window.

When choosing the column order, make sure that the first 13 columns are the ones that you want to see first and to print from this view.

Complete these steps:

  1. On the Layout tab of a custom view, select the column or columns in the Selected Columns section.
  2. Click the Up button below the list to move the selected column earlier in the list.
  3. Click the Down button below the list to move the selected column later in the list.
  4. When you have finished, click Save to save your changes.
  5. Click Close to close the Configure Views window. The new column order displays on the Browse window.

NOTE: Only the views you create can be modified. You cannot change the column order of Views Built by R.O. Writer.

To Sum Up Columns

Some columns have a Sum setting in the Selected Columns section. When the Sum box is checked, a total line for the column appears on the last page when you print the Browse view.

To sum up a selected column, simply check the Sum box, click Save, then Close.

Choosing the Sort Order on the Sorting Tab

On the Sorting tab, you can choose how you would like the columns to sort by default.

NOTE: The Available Columns section of the Sorting tab includes all possible columns and not just the columns selected for the view. As a result, you can include or exclude inventory records based on criteria that do not appear as a column in the list.

TIP: You would usually sort the first two or three columns because it determines which inventory records appear when the Browse window opens.

To Choose Ascending or Descending Order

Complete these steps:

  1. On the Sorting tab, select columns.
  2. Use the arrow keys to move them to the Sorted Columns section.
  3. Decide whether you want the view sorted in ascending or descending order by using the checkbox in the Descending column:
    • To sort the list in ascending order, leave the Descending checkbox unchecked.
    • To sort the list in descending order, check the Descending checkbox.
  4. Click Save to save your changes.
  5. Click Close to close the Configure Views window.
  6. Check the list in the view you just modified to verify your changes.

To Choose Which Column Sorts the List First

Inventory records are sorted in the same order that they appear in the Sorted Columns section.

To choose the sort order, select a column in the Sorted Columns list and click the Up and Down buttons to move it up and down.

Setting the Filtering on the Filters Tab

The Filters tab enables you to filter the list of inventory records for the entire view.

To Filter the View

Complete these steps:

  1. On the Layout tab, click the item you want to filter by in the Available Filters section.
    • The item is highlighted but not checked.
    • The Filter By section updates with the filter criteria available for that item.
  2. In the Filter By section, review the filter by criteria that appears.
    • If a dropdown list appears, click it to see the filter criteria for the filter you selected, then enter the Value in the field.

    • If a list of criteria appears, scroll through the list and check the box of the criteria you want.

    • If Yes and No circles appear, select one.

      These circles appear for values that require yes or no selections such as IsTire or NoSmartMatrix.

  3. When you select a criterion, the box of the filter is checked in the Available Filters section.
    • This box stays checked until you uncheck or delete all Filter By criteria for that filter.
  4. Click Save to save the change.
  5. You can either choose a new column in the Available Filters list OR click Close.

Filter By Criteria

The following table describes the filter criteria and what to select or enter.

Alt Part Num Enter an alphanumeric value (supports wildcard searches).
AltPartLine Enter an alphanumeric value (supports wildcard searches).
Category Select the labor category or categories from the list provided.
Charge Enter an alphanumeric value (supports wildcard searches).
Committed Enter a numeric value and select equals, less than, greater than, etc.
Cost2 Enter a numeric value and select equals, less than, greater than, etc.
Cost3 Enter a numeric value and select equals, less than, greater than, etc.
DCAvailability Enter an alphanumeric value (supports wildcard searches).
DCMinOrderQty Enter a numeric value and select equals, less than, greater than, etc.
DCStatus Enter an alphanumeric value (supports wildcard searches)
Department Select the parts department(s) from the list provided.
Description Enter an alphanumeric value (supports wildcard searches).
Fee 2 Amount Enter a numeric value and select equals, less than, greater than, etc.
Fee 2 Type Select the fee type or fee types from the list provided.
Fee Amount Enter a numeric value and select equals, less than, greater than, etc.
GSTTax Enter an alphanumeric value (supports wildcard searches).
IsTire Select Yes or No.
ItemSize Enter a numeric value and select equals, less than, greater than, etc.
Last_Cost Enter a numeric value and select equals, less than, greater than, etc.
LinkPartLine Enter an alphanumeric value (supports wildcard searches).
LinkPartNo Enter an alphanumeric value (supports wildcard searches).
ListPrice Enter a numeric value (less than, greater than, equal to, etc.)
Location Enter an alphanumeric value (supports wildcard searches).
MajorCode Enter an alphanumeric value (supports wildcard searches).
Manufacturer Enter an alphanumeric value (supports wildcard searches).
Menu Select Yes or No.
MinorCode Enter an alphanumeric value (supports wildcard searches).
Misc Enter an alphanumeric value (supports wildcard searches).
Month columns
(e.g., APR, AUG, NOV, etc.)
Enter a numeric value and select equals, less than, greater than, etc.
No_Fee Select Yes or No by selecting Equals and typing in a “Y” or an “N”.
No_Sold Enter a numeric value and select equals, less than, greater than, etc.
