The fields for email configuration are as follows:

Field Description

Outgoing Mail Server (SMTP)

This is the outgoing mail server for the Internet Service Provider (ISP) that is being used.

Port (blank for default)

If your email uses a different port in which to send email, enter it here; otherwise, leave blank for the default which is 25.

Use SSL and Use Secure
Password Authentication

Select these checkboxes if your ISP requires them.

Account Name

Name of the account established with the ISP for email.

Password

This is the login password for the email account.

Your Name

Name to be displayed in the From box of the email.

Your Email Address

This is the complete email address for the shop. This is used by R.O. Writer support if something has to be mailed to the shop.

Document Templates

Select or edit document templates; see Email Templates.

Test Connection

Click to verify your settings are correct. The system sends out a test email to verify.

Cancel

Click to exit without saving changes

Save

Click to save your changes and exit.

Set Customers to Receive Email

This button is a global setting that checks the Send box on the Edit Customer window for all customers that already have an valid email address entered. Bulk emails are sent to all customers with the Send box checked.

After you click this button, the Send checkbox on the Edit Customer window for all customers with one or more valid email address is selected by default.

It is important to note the following when clicking this button:

NOTE: The system validates email addresses entered on the Edit Customer window to prevent junk email addresses being entered into the system.

Internet Connection Required

To use email from R.O. Writer, an account with an Internet Service Provider (ISP) must be established. Generally, for support reasons and also to update R.O. Writer, an Internet connection will be required.

If you are using the Central Office Client, an internet connection is necessary to share data with the corporate office and other stores. This connection can be initiated by a variety of methods, with a dial-up connection being the slowest, and a DSL connection being the fastest. While a DSL connection may be the most desirable, it may not be available in all locations. A digital cable connection is generally faster than DSL, but this type of connection also may not be available.

Contact the local phone company and local cable TV provider to find out if these services are available, and what they cost. At a minimum, the computer being used to attach to the internet, or WAN should be equipped with a 56 KBPS dial-up modem. If your internet connection is via DSL or cable, a router is required. LinkSys and LanWave are two manufacturers of routers for cable and DSL modems. These products should be available at a local computer store.

In some cases, internet providers are limiting the number of emails you can send at one time. If this is the case and you are trying to send many emails, you may get errors. You may need to look into getting a business account with your internet provider.
