PDF Names
When printing to the screen, to PDF, or to email, R.O. Writer assigns default names to the item or PDF file that is created. (When printing to email, a PDF of the document is attached to the email that is sent.
TIP: You can always click the Browse button to assign the PDF whatever name you want; however, R.O. Writer will always assign the document a default name.
Standard Naming Format for PDFs
The standard format for documents printed to PDF is "rpt[MMMDD-HHMMSS].pdf".
- MMM is the three-letter description of the month (for example, "Aug" for August).
- DD is the two-digit description of the date (for example, "20" for the 20th of August).
- HH is the two-digit description of the hour. The time is in 24-hour time; for example, "13" is military time for 1 pm.
- To determine the standard time, subtract 12 from the HH number.
- MM is the two-digit description of the minute.
- SS is the two-digit description of the seconds.
NOTE: The time-stamp ensures that each PDF has a unique name.
Printed Tickets
Tickets printed to PDF are named in the following format: "["RO" or "EST"]_[ID#]_[Customer’s Last Name]" for each ticket printed.

Printed Reports
For reports, the default name of the PDF file is determined by the module where the report was run.
Reports Printed in the Reporting Module
In the Reporting module, the PDF file is named for the type of report.
- "Sales Reports.pdf" is the default name of the PDF file for all Sales Reports.
- "Other Reports.pdf" is the default name of the PDF file for all Other Reports.
- "Lists.pdf" is the default name of the PDF file for all List reports.
NOTE: If you print one sales report and then another, the default name of the second report will be appended with a"(1)" to ensure that the second report does not save over the first. The number within the parentheses increases by one for each report of the same type you print to PDF.
Printed Summary Reports
- The Daily Summary Report printed from the Daily Summary toolbar button follows the standard naming format for PDFs.
- The Summary Report printed in the Reporting module uses the naming convention for Sales Reports, which means the Summary Report is named "Sales Reports.pdf" by default.
Inventory Reports
The default name of the PDF file for Inventory reports is the same as the name of the report. For example,
- The "Parts Reorder Report.pdf" is the name of the printed Parts Reorder Report.
- "Parts Price List.pdf" is the name of the printed Parts Price List.
- "Core Report.pdf" is the name of the printed Core Report.
- And so on.
Accounts Payable Reports
The default name of the PDF file for Accounts Payable reports uses the standard naming format for PDFs.
Accounts Receivable Reports
The default name of the PDF file for Accounts Receivable reports uses the Standard Naming Format for PDFs. However, "Statement Reports.pdf" is the name of all printed statements.
Marketing Reports
The default name of the PDF file for Marketing reports uses the standard naming format for PDFs.
