Employee Time Clock

The employee time clock works similar to a punch time clock.

Accessing the Time Clock

Click the Quick Functions menu > Time Clock (CTRL + J). The Time Clock window displays a list of all employees (including technicians) and their current status: In or Out.

The employees and technicians that appear here are the employees and technicians that are active in Configuration. If an employee or technician is inactive, they do not appear in this list.

To expand the window, click on the lower right corner and drag outward until the window is the desired size.

NOTE: If a password has been established for an employee, the employee is prompted for their password before he or she can punch-in or punch-out.

Punching In and Out

To Punch Out

When an employee is clocked in, select the employee name and click the appropriate Punch Out button. A prompt appears asking you to confirm the clock out and type.

Click Yes and the employee is clocked out.

To Punch In

When an employee is clocked out, click the Punch In button. A prompt appears asking you to confirm the clock in and type.

Click Yes and the employee is clocked in.

Punch In and Punch Out Options

The Require a Clock Out Reason When Using Time Clock option in the Configuration module (File menu > General Options > Miscellaneous section) determines which Punch Out buttons appear on the Time Clock window.

NOTE: If a password has been established for an employee, the employee is prompted for their password before he or she can punch-in or punch-out.

To Adjust Punch In/Punch Out Times

If there is an error or mistake in the Time Clock - maybe someone fails to clock in or out - you can Edit Time Cards.

To Prompt All Employees to Punch Out During End of Day

End of Day Processing run at the end of every day. All employees should be clocked out when end of day is run. You can configure end of day to prompt you to clock out all employees in Configuration.

Complete these steps:

  1. Open the Configuration module.
  2. Click File menu > General Options > Miscellaneous section.

  3. Check Automatically Check Out Employees During End of Day .
  4. Click OK to save the change.

Adjusting the Computer's Time and Date

The time displayed on the time clock is taken from the computer’s date and time. It may be necessary to reset the computer’s date and time to have the Time Clock function properly.

Complete these steps:

  1. The computer’s time is displayed in the bottom right corner of the computer screen. Hover the mouse over the time and the date.

  1. Double-click on this area. The computer's clock appears.

  1. Click Change date and time settings.
  2. On the Date and Time tab, adjust the time.

Time Reporting

The date, time, and status of all punch-ins and punch-outs are recorded. This information is available and tracking on the following reports:
